If your payroll folder is open to the whole company today, nobody notices. On the day Copilot goes live, somebody will.

What to fix first, in this order

  1. Find out who can open what. Nothing else matters until you know. This is the single highest value hour you can spend.
  2. Mark the sensitive material. Microsoft Purview handles classification, sensitivity labelling and data loss prevention, so the rules stop depending on everyone remembering them.
  3. Get control of Teams and SharePoint sprawl. AvePoint Elements manages workspace governance, ownership and lifecycle, which is what stops the problem coming back.
  4. Decide what staff can reach. Web and AI tool filtering settles which tools are usable on a work device, which is more reliable than a policy asking people not to.
