What is Claude AI?

A Guide for UK Small Businesses

We Do Your IT Support helps small and medium-sized businesses across Bristol, Bath, Cheltenham, Swindon, Gloucester, and the wider South West understand and safely implement Claude AI alongside Microsoft Copilot. As your trusted managed IT provider, we guide you through Claude’s capabilities, security considerations, and how it fits into your existing Microsoft 365 environment.

What is Claude AI?

Claude AI is a family of proprietary large language models developed by Anthropic, a company founded in 2021 by former OpenAI researchers, including co founder Dario Amodei and Daniela Amodei. If you already know Microsoft Copilot or ChatGPT, Claude sits in the same space. It is a conversational AI assistant capable of handling complex tasks, but it takes a distinctly different approach to safety and design.

Claude AI is built with a focus on being helpful, honest, and harmless. Anthropic emphasises safety in the design of Claude AI models, using a method called Constitutional AI in its training. Rather than relying solely on human feedback to correct unwanted behaviour, Claude follows a written set of ethical principles during training and inference. For business users, this translates into outputs that tend to be more measured, with fewer problematic responses.

Claude AI is available through web, mobile apps, and APIs. You can use claude chat through the browser at claude.ai, download the desktop extensions and mobile apps, or connect via API for custom integrations, where businesses can manage integrations and usage more directly. It competes directly with ChatGPT and complements Microsoft Copilot in business environments, particularly where you need to work with longer documents, more complex reasoning, or tools outside the Microsoft ecosystem.

The model family uses literary names. Claude Sonnet is the midrange option balancing speed and cost. Opus is the larger, more capable model. Haiku is the lightweight option for simpler tasks. Claude AI is known for its multimodal capabilities, processing various inputs including text, images, charts, and graphs. It features a large context window to analyse and summarise long documents, with enterprise plans supporting up to one million tokens in a single session for high token usage across long-session processing. That is enough to process an entire contract pack, annual report, or regulatory filing without truncation.

How Claude AI and Claude Enterprise work for UK small businesses

Claude AI is widely applied across business operations, software development, and research. For UK SMEs, the practical applications fall into a few clear categories.

Document analysis and summarisation.

Claude AI can analyse documents, summarise reports, and extract relevant information. Because of its expanded context window, it handles document heavy tasks well. Supply contracts, tender documents, compliance paperwork, annual accounts: you can upload these directly and ask Claude to highlight risks, compare versions, or pull out key obligations. This is particularly useful for businesses that regularly deal with lengthy legal or regulatory documents but do not have in-house legal teams.

Content creation.

Claude AI includes features facilitating collaboration and content creation. It can draft marketing copy, emails, proposals, social media posts, newsletters, and web content. You can set tone and style preferences, and if you use a team plan or enterprise plan, you can upload your brand guidelines and style documents into Projects so Claude stays consistent. Canva powers content creation within Claude for Small Business, giving smaller teams a way to produce visual content alongside written drafts.

Data analysis and coding.

Claude AI can generate, debug, and explain code across multiple programming languages. With claude code access, engineering teams and technically minded staff can automate simple scripts, parse CSV files, manipulate data, or generate boilerplate code. Claude AI can also interpret visual data such as images, charts, and graphs, turning raw numbers into narrative insights.

Customer support and knowledge bases.

You can feed Claude your product manuals, prior support tickets, and FAQs to build internal knowledge bases or draft chatbot scripts. Claude AI can engage in natural language conversation and assistance, making it a useful tool for developing customer-facing resources.

Integration with business tools.

Claude for Small Business includes 15 agentic workflows designed to simplify complex workflows. It integrates with QuickBooks for financial management, and supports connectors for Google Drive, Google Calendar, and Microsoft 365. Claude AI can operate computer interfaces and execute multi-step tasks, moving beyond simple chat towards genuine intelligent automation and workflow management. Claude AI is utilised for intelligent automation and workflow management across a growing number of business scenarios, and can assist in decision support and educational tutoring as well.

Where Claude and Copilot each fit

The main difference between Claude and Microsoft Copilot is where they sit in your workflow.

Microsoft Copilot

Copilot lives inside Word, Excel, Outlook, and Teams. It is excellent for in-app productivity: summarising meetings, drafting emails from conversation history, generating charts.

Claude

Claude is stronger for tasks that span multiple tools, require processing very large documents, or involve multi-step reasoning outside the Microsoft ecosystem.

For most organisations, these tools complement rather than replace each other. AI Fluency for Small Business is a free online course from Anthropic that can help your team understand where Claude fits.

Is Claude AI Safe for Business? Security, Data Privacy and GDPR Explained

This is the section that matters most for any business considering Claude AI. Is Claude AI safe for professional use? The answer depends entirely on which plan you use and how you configure it.

Data privacy protections

On team and enterprise plans, Claude Enterprise does not use your data for model training. This is non-negotiable for any business handling sensitive information. Anthropic introduced an opt-in model for data sharing in 2025, meaning users must opt-in to share data for model training. Claude Pro does not use conversations for training without consent. For opted-out users, data retention is 30 days. Users can retain contributed data for up to five years if they choose to opt in.

Anthropic employs AES-256 encryption for data protection, and Claude Enterprise supports customer-managed encryption keys, giving your business complete control over how data is encrypted.

GDPR compliance

For UK businesses, Claude AI GDPR compliance is achievable on the right plan. Claude Enterprise supports data processing in UK and EU regions, so data stays within specified jurisdictions. Enterprise plans include a data processing agreement, controls over how inputs are used, and the ability to enforce custom data retention and deletion policies. You will still need to verify controller and processor roles, consent mechanisms, and security of processing as part of your own GDPR compliance work.

Enterprise grade security features

Anthropic holds SOC 2 Type II certification for security practices. Claude Enterprise is also certified to ISO-27001, CCPA, and GDPR standards. Admin controls include SSO, SCIM user provisioning, audit logs, compliance API access, role-based access, and retention policies. Claude Enterprise includes a HIPAA-ready offering with a signed business associate agreement, which is relevant for healthcare or regulated sectors. HIPAA readiness is available for organisations that need it.

Claude Enterprise allows admins to set spend controls at the organization and user level, and the standard Enterprise seat includes Claude Code and Cowork access. Admins can also monitor and manage usage credits where applicable. Enterprise plans have no per-seat usage limits for tokens, operating on a usage based model where the seat cost covers access while API or token consumption is billed separately at standard api rates. Monitoring api rates and Claude costs helps businesses keep spend under control as usage scales.

Consumer-tier AI tools, including free versions of Claude, ChatGPT, and others, often lack the compliance controls businesses need. They may retain your data, store it outside the UK, or use it for model training. If your staff are using free AI tools at work, you have a data governance gap. This is where having a proper AI policy and tools like Microsoft Purview and DLP controls become essential.

Who should consider Claude AI team plan for their business?

Claude is not for every business, and not every business needs it right now. Here is where it makes the most sense.

If Copilot handles your everyday email, meetings, and spreadsheets well but you find it falls short on large document analysis, complex reasoning, or tasks outside Microsoft apps, Claude fills that gap. Think of it as a specialist tool alongside your generalist, and this combined approach suits most organisations that need both in-app productivity and wider reasoning support.

Legal firms, financial services, healthcare providers, or any SME handling personal data under GDPR, client-confidential information, or intellectual property. Claude Enterprise gives the compliance controls, audit logs, and data residency options these organisations need. Claude offers HIPAA-ready plans with a signed BAA for regulated sectors.

Tender responses, regulatory compliance reporting, technical documentation, scientific or technical firms where interpreting and summarising long texts is routine. Claude’s expanded context window and reasoning capabilities are built for this.

If your organisation works across multiple tools, not just Microsoft, or wants AI to support workflows across an entire organisation rather than isolated teams, Claude’s agentic capabilities, API access, and connectors offer flexibility while reducing reliance on manual uploads for routine data access. Power users and engineering teams benefit from claude code access and the ability to build custom workflows.

If ethical AI, reduced hallucination, and transparent data handling policies are priorities for your organisation, Claude’s Constitutional AI framework and published compliance posture make it a strong choice.

Getting started with Claude AI and Claude Code safely

If you are considering Claude AI for your business, here is how we would approach it.

Step 01
Assess your current AI readiness and security posture.

We start by reviewing your Microsoft 365 setup, existing security controls, data governance, and how your team currently uses AI tools, whether sanctioned or not.

Step 01
Step 02
Develop AI usage policies covering both Copilot and Claude.

A clear policy defines what data can and cannot go into AI tools, which plans are approved for use, and how system events, chat histories, and file content are handled. This sits alongside your existing data protection and acceptable use policies.

Step 02
Step 03
Train your staff on safe AI adoption and data handling.

Staff need to understand what Claude can and cannot do, how to handle sensitive data, and where the boundaries are. This is not optional. Untrained staff using AI tools are a data risk.

Step 03
Step 04
Implement the appropriate Claude plan.

For individual users exploring Claude, Pro is a reasonable starting point. For teams, the team plan offers shared access with sensible per seat usage limits. For businesses handling sensitive data or needing compliance controls, Claude Enterprise with its audit logs, custom data retention, and encryption controls is the right tier. Self serve enterprise plans suit most organisations, while larger rollouts may need sales assisted support. For some deployments, spend planning also means reviewing token usage and the trade off between faster responses and lower cost usage patterns.

Step 04
Step 05
Integrate with existing security controls and monitoring.

Claude needs to work within your existing security framework, not around it. That means connecting to your identity management, configuring data residency, enabling audit logs, and aligning with tools like Microsoft Purview and DLP for small businesses.

Step 05
Step 06
Ongoing support and policy updates.

AI technology, regulation, and best practice are all moving quickly. We provide ongoing support to keep your policies, configurations, and staff training current as things evolve.

Step 06

Get in touch

More of your team are probably using AI tools already than you realise, and not always the properly configured ones. Get it wrong and you’re looking at a data governance gap: sensitive information leaving your business with no policy, no oversight and no idea where it’s ending up. Get it right, with the correct plan, the right admin controls and a clear usage policy, and your team gets a genuine productivity boost without the risk. We Do Your IT can help you set up Claude AI properly, alongside the Microsoft 365 security you already rely on, so you get the benefit without the exposure.
