Every user who will access Microsoft 365 Copilot needs both a qualifying Microsoft 365 base licence, such as M365 E3 or E5, and a Microsoft 365 Copilot add-on licence assigned. Worth confirming first, because nothing else matters without it.
We Do Your IT Support helps SMEs across Bristol, Bath, Cheltenham, Swindon, Gloucester and the wider South West work out whether their Microsoft 365 is ready for Copilot. If you are considering Microsoft 365 Copilot, the question is whether your environment is technically, securely and organisationally ready before you commit budget to a rollout.
Â
This is not a general AI review. It is specifically about Microsoft Copilot and Microsoft 365: licensing, data governance, access controls, security and staff readiness.

25+ Reviews
A Microsoft Copilot readiness assessment is a systematic review of your Microsoft 365 environment that checks permissions, licensing eligibility, and data governance before deploying Copilot. It helps identify whether your business has the right copilot licenses, security settings, access controls, data structure, and staff plan in place for a safe Copilot deployment.
Â
The assessment looks at more than whether you can buy Microsoft 365 Copilot. It evaluates whether Copilot can access the right data, whether sensitive data is protected, whether users have the correct licenses, and whether your Microsoft 365 setup could create security concerns once Copilot’s advanced discovery tools begin surfacing relevant content from SharePoint, OneDrive, Teams, Outlook, and business email.
Â
Many businesses already have Microsoft 365 licences but have never audited their data permissions, access controls, or governance practices. That gap is the most common reason Copilot deployments fail or create security risks. Without proper preparation, Copilot may surface outdated files, expose sensitive information, or give users access to content they should not be able to see.
Preparation is what stops Copilot surfacing files people were never meant to see. Knowing where you stand before you switch it on is the difference between a rollout that works and one that has to be unpicked afterwards.
Oversharing is the #1 reason Copilot rollouts go wrong.
Most SMEs are not fully ready for Microsoft 365 Copilot because technical readiness goes beyond having the right licenses. A business may already use Microsoft 365 every day, but that does not mean its data, permissions, security, and governance are ready for an AI assistant that can analyze and summarize information across the organization.

Oversharing remains the greatest data risk

Redundant, Outdated & Trivial files surfaced
95% of organisations are developing an AI strategy, but strategy without technical foundations leads to failed projects. For Microsoft 365 Copilot readiness, those foundations include clean data, controlled access, sensitivity labels, secure identity settings, and a clear adoption plan. Without them, the productivity benefits of Copilot can be undermined by avoidable risk.
Â
Oversharing remains the single greatest data risk when preparing for Copilot, as it can expose sensitive files that were previously hidden. Without proper data access controls, Copilot can potentially expose sensitive information such as confidential emails and meeting summaries to unauthorized users. AI engines can surface any accessible data, highlighting the importance of managing permission sprawl and data lifecycle policies.
To mitigate security risks, organizations should audit overshared links and permissions, especially in SharePoint and OneDrive, to prevent unauthorized access to sensitive content
01Â Â Overshared SharePoint folders
03Â Â Inadequate permissions management
05Â Â Unmanaged guest access
02Â Â Old OneDrive links
04Â Â Missing sensitivity labelling
06Â Â Redundant, Outdated, and Trivial files
Organizing Microsoft 365 data is crucial for ensuring accurate and up-to-date responses from Copilot, which can be achieved by centralizing, structuring, and managing data effectively. To enhance the effectiveness of Copilot, organizations should tackle Redundant, Outdated, and Trivial (ROT) files by identifying unnecessary content and setting rules for archiving or deletion, which helps focus Copilot on relevant information.
Readiness is not one thing. These are the areas that decide whether Copilot is safe to switch on, and the ones worth knowing where you stand on before you commit budget.

What needs checking:
Every user who will access Microsoft 365 Copilot needs both a qualifying Microsoft 365 base licence, such as M365 E3 or E5, and a Microsoft 365 Copilot add-on licence assigned. Worth confirming first, because nothing else matters without it.
Your Microsoft 365 tenant, business email setup, identity configuration, device readiness and app update channels all matter. Users need to be on a supported update channel for Microsoft 365 Apps, either Current Channel or Monthly Enterprise Channel, to get Copilot features at all.
Sharing across SharePoint, OneDrive, Teams and Microsoft 365 workspaces: overshared files, broken access controls, broad sharing links, external access, and who can currently see sensitive data. This is where most of the problems are, and it is also where cleaning up redundant, obsolete and trivial content pays off.
Microsoft Entra ID configuration, user accounts, group access, multi-factor authentication, conditional access policies and compliance settings. Configuration gaps here tend to stay invisible until something uses them.
Whether sensitivity labels are in place, whether sensitive information is classified properly, and whether governance controls protect confidential files, customer data, financial information and internal business content.
Whether your team has the skills, confidence and training plan for Copilot adoption, and which department personas and workflows to target first, so a pilot lands rather than fizzles out.
The Microsoft 365 admin centre provides a Copilot readiness report showing which users meet the technical and licensing requirements, and identifies suggested candidates among your most active collaboration users. That tells you who a pilot should begin with. For a broader overview check out our page on AI tools for SMEs.

Data governance means defining clear purposes, rules and role assignments for each workspace in Microsoft 365, so sensitive data stays where it should and nobody can act outside their remit.
Our Microsoft 365 Copilot readiness assessment is designed for SME owners and directors with 5–50 employees who are considering Copilot deployment but want to understand the risks, requirements, and likely value before moving ahead.
Â
It is especially useful if your business already uses Microsoft 365 but has never completed a proper review of data governance, permissions, sensitivity labels, access controls, or security settings. You may have the licenses, but still need to determine whether your organization is ready to use Copilot securely.
Â
This assessment is also suitable for companies that have started exploring Copilot but want professional validation before they begin a wider rollout. If you are unsure which users should be included first, which departments will see the greatest productivity improvement, or whether your current Microsoft 365 infrastructure is ready, we can help you assess the right next steps.
